Decide whether you're estimating parts or configuring products
Job shops quoting machined, sheet-metal, or additive parts (Paperless Parts, Costimator, SecturaFAB, Micro Estimating Systems) need geometry-driven cost estimation: feed in a file, get a cycle-time-based cost. Manufacturers selling configurable equipment (Tacton CPQ, Configure One Cloud, Epicor CPQ, Infor CPQ, Salesforce CPQ) need rules or constraint engines that prevent an invalid configuration from ever reaching a quote. These are different problems with different vendor pools; don't shortlist across both without knowing which one you have.
Decide whether quoting has to live inside your ERP
JobBOSS², ProShop ERP, Global Shop Solutions, and MIE Trak Pro bundle quoting into a full job-shop ERP: scheduling, job costing, purchasing, accounting. That's a heavier commitment than a standalone quoting tool, and it means your quoting workflow inherits whatever that ERP's implementation timeline looks like. JobBOSS² states three to six months to implement; the others don't publish a figure. If you already run an ERP and just want quoting to plug into it, check named integrations before assuming compatibility. Configure One Cloud names NetSuite and Salesforce; Epicor CPQ names Salesforce, Teamcenter, and Magento; Costimator names Epicor. Most of the rest don't name specific systems.
A job-shop estimator maintaining cost models (Costimator, Micro Estimating Systems) is a different administrator than a sales-ops person maintaining CPQ rules (Tacton, Salesforce CPQ, Configure One Cloud). If nobody on staff owns product configuration logic, a rules-based CPQ becomes shelfware regardless of what it can do. Ask who currently maintains your price book and whether that person has time to own a second system.
TODO(editor): verify how many of the 15 vendors publish a specific implementation timeline beyond JobBOSS²'s stated three-to-six-months before making a claim about typical rollout length.
Decide what deployment constraint you're actually under
Costimator and Micro Estimating Systems are on-premise; Paperless Parts, Xometry Workcenter, SecturaFAB, Salesforce CPQ, Tacton, Configure One Cloud, and Epicor CPQ are cloud-only as published. JobBOSS², Global Shop Solutions, and MIE Trak Pro offer hybrid or multiple deployment options. If your plant has no reliable connectivity to the shop floor, or IT policy blocks cloud hosting of job data, that alone eliminates several vendors before you look at features.
TODO(editor): verify which vendors' cloud offerings have any documented offline or on-premise fallback mode, since several list cloud-only with no exception noted.
Decide what you're willing to pay for and what stays hidden
Only two vendors on this page publish a number: DigiFabster at $49/mo (with a free plan) and Salesforce CPQ at $150/user/mo. The other 13 require a quote or demo request. That's not unusual for this category, but it means your budget conversation with most vendors starts from zero information, and you should ask upfront for a full quote-to-close price, not just a licence fee, since implementation, training, and integration work are rarely included.
TODO(editor): verify whether any vendor beyond DigiFabster and Salesforce CPQ discloses pricing on a partner or reseller page not captured in the listings above.
Decide what compliance or traceability you actually need
If you sell into aerospace, defense, or medical, ProShop ERP documents AS9100, ITAR, and FDA-oriented traceability workflows, and Paperless Parts documents GovCloud hosting with ITAR registration and FedRAMP Moderate Equivalent status. If you don't need that documentation trail, you're paying for capability you won't use; check whether the vendor's compliance features are bundled or a separate module.
